Administrator Role (Customer Service and Dispatch Assistant)
£25,266 to £27,266 per annum pro-rata, fixed-term part-time contract Monday to Friday (25-30 hours a week), until end of July 2025
Job description
Customer Service and Dispatch Assistant required for educational publisher ZigZag Education in their busy office in Westbury-on-Trym, Bristol. Must be numerate, IT literate, and organised for a core role of processing customer orders, supporting customer queries, and undertaking general administration within the Customer Services and Dispatch department.

Training
This role involves a four week training period and has on the job training provided.
Core tasks
The dispatch and customer service team send teaching resources to
educational institutions. This involves entering orders on to the
IT system, printing out and making up publications, and packing
and sending them to customers. We anticipate that 50% of the time
will be spent entering orders although this can vary greatly
depending on the demands of the business. You may do any of the
following tasks as delegated by your line manager:
Entering Orders
- Entering orders onto the custom database
- Printing out invoices and labels
- Tracking of orders
- Answering the phone and taking orders as well as dealing with queries
- Entering payments
- Assist Manager with other admin jobs as appropriate
Print orders | Make up orders | Pack Parcels
- Packing up publications
- Dispatching orders to customers
- Printing out teaching publications and other paperwork
- Making up orders with invoices and advertising flyers
- Assist the two Directors and other members of the team with administrative tasks, such as filing, helping with printer running, unpacking deliveries, opening the post, customer related data entry, cleaning and recycling
Customer Services (once experienced)
- Taking telephone orders
- Looking up information for customers
- Customer support for our online learning platform
- Following up customer problems/complaints
- Assist Manager with other admin jobs as appropriate
Other work as part of the team
As a small business you may from time to time need to support other departments as required. You may also be required to undertake training in areas suitable to your qualifications and to develop skills and to work in different areas of the business.
Skills & Qualifications Required or Desired
Essential Skills Required
Organised, practical and accurate, working to daily deadlines, numerate, responsible, computer literate, knowing when to ask questions and also the ability to work independently, reliable. Manually dextrous. Personable but at the same time able to concentrate on tasks and achieve a lot in a short period of time. Methodical and meticulous with an attention to detail.
Minimum Requirements including Qualifications
- GCSE Maths grade B/grade 5 and GCSE English grade B/grade 5(or equivalent)
- Minimum A level grades of B,D,E (or equivalent)
- Good communicator/excellent telephone manner
- Fluent English Speaker
- 1+ years’ experience in a related role
Desirable Requirements
- Strong A level grades
- Degree
- Good knowledge of the UK qualification and schooling system.
- 4+ years experience in a similar role including; data entry, using IT systems, customer interaction
Pay and Conditions
Starting salary will be dependent on experience, qualifications and performance at interview. For a salary of £27,266 per annum pro-rata you would need 4+ years relevant experience, meet the minimum qualification requirements & more, and meet most of the desirable requirements, whilst performing excellently at interview.
Fixed term, part time contract, running until end of July 2025. Hours of work are Monday to Friday, ideally 9am – 2.30pm with half hour lunch break, or 9am -2pm with no lunch break. Some flexibility with start time can be agreed.
The probationary period is 3 months. Possibility of extension until end of November 2025.
