Job description

Customer Service and Dispatch Assistant required for expanding educational publisher ZigZag Education in their busy office in Westbury-on-Trym, Bristol. Must be numerate, IT literate, and organised for a role which includes processing customer orders and ranges from packing them up to entering orders and undertaking general administration within the Customer Services and Dispatch department.

Training

This role involves a four week training period and has on the job training provided.

Core tasks


The dispatch and customer service team send teaching resources to educational institutions. This involves entering orders on to the system, printing out publications, making them up and packing them together and sending them to schools. As the dispatch assistant you may do any of the following tasks as delegated by your line manager:

Print orders | Make up orders | Pack Parcels (Training phase 1)

  • Packing up publications
  • Dispatching orders to customers
  • Printing out teaching publications and other paperwork
  • Copying datafiles onto CDROMs to make up customer publications
  • Making up orders with invoices and advertising flyers
  • Assist the two Directors and other members of the team with administrative tasks, such as filing, helping with printer running, unpacking deliveries, opening the post, customer related data entry, cleaning and recycling

Entering Orders (Training phase 2)

  • Entering orders onto the custom database
  • Printing out invoices and labels
  • Tracking of orders on internal paper and carrier electronic system
  • Making up electronic copies of resources - MS Word and PDF
  • Answering the phone and taking orders as well as dealing with queries
  • Entering payments
  • Assist Manager with other admin jobs as appropriate

Other work as part of the team

As a small business you may from time to time need to support other departments as required. You may also be required to undertake training in areas suitable to your qualifications and to develop skills and to work in different areas of the business.

Skills & Qualifications Required or Desired

Essential Skills Required

Organised, practical and accurate, working to daily deadlines, numerate, responsible, computer literate, knowing when to ask questions and also the ability to work independently, reliable. Manually dextrous. Personable but at the same time able to concentrate on tasks and achieve a lot in a short period of time. Methodical and meticulous with an attention to detail.

Minimum Qualifications Required

  • GCSE Maths grade B and GCSE English grade B
  • Minimum A level grades of B,D,E (or equivalent)

Desirable Requirements

  • Strong A level grades
  • Degree
  • Good communicator/excellent telephone manner
  • Fluent English Speaker with knowledge of the UK schooling system.

Pay and Conditions

1-year contract. There is the strong possibility of further work and an extended or permanent contract.

Pay is £15,722 per annum with 43 days holiday entitlement (equates to £16,805 pro-rata with the normal 28 days holiday). Hours of work are Monday to Friday, 8:30am to 5pm, with half an hour for lunch (40hrs per week). (43 days holidays is 7 weeks plus 8 bank holidays; 3 weeks of which must be taken in the school summer holidays, some term-time restrictions).

In addition to completing training successfully you are required to complete a 6 month probationary period.

ZigZag Education is a Bristol-based educational publisher. We are based in a single location split over six rooms. There are approximately 25 members of staff. We are a highly focused business which creates resources such as worksheets, practice exam papers, teaching notes, digital interactive web teaching resources, etc. for secondary schools and FE colleges.

As a relatively small team we offer an informal, friendly and flexible working environment. Based in Greenway Business Centre, we have free parking and our offices back onto playing fields, providing a quiet and green setting. The offices are provided with free chilled water, milk, tea, coffee and biscuits/fruit. We make an effort to enjoy some social occasions such as a summer BBQ, Christmas dinner, bowling, picnic, and the occasional drink after work. Dress code is smart casual.
