Administrator and Accounts Assistant

Eight Month Contract (Maternity Cover), £18,500 - £20,000 per annum pro rata

An exciting opportunity has arisen for a Business Support Administrator for educational publisher ZigZag Education in their busy office in Westbury-on-Trym, Bristol. Must be numerate, IT literate, and organised. The position offers a fantastic opportunity to gain experience, knowledge and an understanding of business support functions including Accounts, IT, HR, Facilities and Administration.

ZigZag Education develop, market, sell and distribute publications to educational institutions in the UK and internationally. The Business Support Department carries out the Finance, Accounts, Human Resources, Facilities, Administration and IT functions to support the Development, Customer Services and Marketing Departments. You will assist in a range of specific activities in the Business Support department.

The role has on-the-job training provided with intensive training in the first few months.

Typical Accounts tasks might include:

  • Assisting with accounts payable and receivable
    • Data entering of payments and carry out payment reconciliation
    • Invoices – matching, batching and entering onto system
    • Writing supplier cheques for invoice payments
    • Assisting with author payments (batching, logging and writing cheques)
  • Undertaking bank reconciliations
  • Credit control
  • Assisting with internal audit procedures

Typical Administrative responsibilities might include:

  • Data entry
  • Updating records in the author and sales database
  • Assisting with recruitment admin e.g. putting adverts on the website, assisting on interview days
  • Assisting with maintaining our customer and author websites
  • Answering the phone on occasion
  • Occassional help with event organising
  • Assisting with ensuring printers are running optimally

Typical Facilities tasks might include:

  • Assisting in ensuring the office is kept to a clean and suitable working environment dealing with external agencies as appropriate e.g. coordinating with the cleaning company
  • Help with resolving facility issues and be proactive in their solution

Other work as part of the team

As a small business you may from time to time need to support other departments as required. You may also be required to undertake training in areas suitable to your qualifications and to develop skills and to work in different areas of the business.

In addition to completing training successfully you are required to complete a 4 month probationary period.

Skills & Qualifications Required or Desired

Essential Skills Required

  • Organised, accurate and reliable, high computer literacy, knowing when to ask questions and also the ability to work independently
  • Methodical with an attention to detail
  • Have an ability to analyse and approach new challenges confidently
  • Personable but at the same time able to concentrate on tasks and achieve a lot in a short period of time
  • Display a keen interest in administration and/or accountancy
  • Good communication with an ability to stay calm and professional under pressure
  • Practical, with an ability to problem solve and a hands-on attitude (for example when dealing with equipment such as printers)

Minimum Qualifications Required

  • GCSE or equivalent Maths grade B and English grade B
  • and A level Business grade B or BTEC in Business at Distinction level or other equivalent business qualifications
  • and strong administration skills backed up with relevant work experience or through relevant qualifications

Desirable Requirements

  • A Level or equivalent grades at least ABC or BBB
  • Accountancy A level grade B or AAT Diploma in Accounting/CIMA Certificate
  • Level 3 Diploma in Business Administration
  • Relevant Degree

Pay and Conditions

Pay is £18,500 - £20,000 per annum depending on knowledge and qualifications. Hours of work are Monday to Friday, 9.00-5.30, with half an hour for lunch (40hrs per week). Holiday entitlement is 28 days per year pro-rata. Eight month maternity cover contract with possibility of further work. Four month probationary period. You must be available to start between mid May and mid June.
